1. Agreement to terms
By accessing or using Yoria ("Service," "platform," or "we"), you agree to be bound by these Terms of Service ("Terms"). If you do not agree, you may not access or use the Service.
These Terms constitute a legally binding agreement between you (individually or on behalf of your organisation) and Yoria. If you are accepting on behalf of an organisation, you represent that you have authority to bind that organisation.
2. Description of service
Yoria provides a cloud-based applicant tracking system (ATS) for recruitment agencies, executive search firms, and in-house talent acquisition teams. Features include:
- Candidate database with structured profiles, full-text search, and bilingual support (English, Japanese kanji/katakana)
- Kanban pipeline management with configurable stages
- AI-powered resume parsing, candidate matching, and resume formatting
- AI lead sourcing agent
- Connect: inter-organisation candidate sharing with field-level visibility control
- Retainer and fee management with milestone tracking
- Multi-currency salary and fee tracking
- Team collaboration with role-based access control (admin, recruiter, viewer)
- Analytics, reports, and pipeline dashboards
- CSV import and data export tools
- Internal team chat with candidate sharing
- Calendar with event scheduling
- REST API with API key authentication
The Service is provided via web browser. No local installation is required. Features may vary by subscription plan.
3. Service availability
The Service is currently available in the following markets: Japan, Singapore, Australia, New Zealand, the United Kingdom, the United States, and Canada. Access from other countries is restricted by geo-blocking.

4. Accounts
You must create an account to use Yoria. A business email address is required — personal email domains (e.g. gmail.com, yahoo.com) are not accepted for registration. You are responsible for maintaining the security of your account credentials and for all activities under your account.
You must provide accurate and complete information when creating your account. One organisation may have multiple user seats depending on your subscription plan. You may not share accounts or allow multiple people to use the same login credentials.
Multi-factor authentication (TOTP) is available to all users and is recommended for all accounts.
5. Subscription and payment
5.1 Plans
Yoria offers the following subscription tiers:
- Free — up to 2 seats, core ATS features, limited monthly AI credits
- Starter — expanded AI credits, additional features
- Professional — full feature access, higher AI credit limits, analytics, and retainer management

5.2 Billing
Paid subscriptions are billed monthly in advance per seat. Payments are processed by Paddle.com Market Limited, acting as our Merchant of Record. Card data is tokenised by Paddle and never transmitted to Yoria. Subscriptions renew automatically unless cancelled before the renewal date.
5.3 Price changes
We reserve the right to change subscription prices with at least 30 days' notice. Continued use of the Service after the price change constitutes acceptance.
5.4 Cancellation and refunds
You may cancel your subscription at any time from your account settings. Cancellation takes effect at the end of the current billing period. For full refund terms, see our
5.5 Failed payments
If a payment fails, we will retry the charge and notify you by email. If payment remains outstanding after 7 days, your account may be suspended. Your data will not be deleted during a suspension period.
5.6 Account locking
Accounts with locked or cancelled subscription status receive zero AI credits and may have write access restricted. Data remains accessible in read-only mode.
6. Free plan
The free plan is permanently available with no time limit and no credit card required. Free plan accounts include up to 2 user seats and receive a limited monthly allocation of AI credits. The free plan is intended for evaluation and small teams; we reserve the right to adjust free plan limits with notice.
7. AI features and credits
7.1 AI capabilities
Yoria uses AI models (Claude by Anthropic, accessed via AWS Bedrock) to provide:
- Resume parsing — structured data extraction from uploaded documents
- Candidate-to-job matching — semantic comparison of candidate profiles to job requirements
- Resume formatting — automated reformatting of candidate profiles for client presentation
- Lead sourcing — AI-assisted candidate search query generation
7.2 AI credits
AI features consume monthly credits allocated per organisation based on your subscription tier. Credits reset on the first of each calendar month. Each AI feature type (resume imports, sourcing searches, AI matches, formatter uses) has its own credit pool. When credits are exhausted, AI features are unavailable until the next reset or until additional credits are purchased.
7.3 Accuracy and responsibility
AI-generated results are provided as decision-support tools and may not always be accurate. You should review all AI output before relying on it. Yoria is not responsible for inaccuracies in AI-generated content. AI features do not make automated decisions with legal or similarly significant effects — all hiring decisions remain with the human user.
7.4 AI data handling
All AI processing is routed through AWS Bedrock regional endpoints. Customer data is not used for AI model training. AI request data is not retained beyond the processing request. For full details, see Section 4 of our
8. Connect: inter-organisation data sharing
Yoria Connect allows Customers to share candidate pipeline data with partner organisations. When using Connect:
- The sharing organisation ("owner") controls which jobs, candidates, pipeline entries, and specific candidate fields are visible to the receiving organisation
- The receiver can view shared data and add their own notes (visible only to the receiver)
- Shared data is accessed through the Yoria platform — no bulk export or data transfer occurs
- You are responsible for ensuring you have the appropriate legal basis to share candidate data with partner organisations
Yoria is not responsible for how receiving organisations use shared candidate data. The sharing organisation remains the data controller for shared candidate data.
9. Acceptable use
You agree not to use Yoria to:
- Violate any applicable law or regulation
- Upload candidate data without appropriate consent from those individuals
- Discriminate in hiring based on protected characteristics in violation of applicable law
- Attempt to gain unauthorised access to any part of the Service or other accounts
- Reverse engineer, decompile, or disassemble the Service
- Resell or sublicense access to the Service without written permission
- Use automated means to scrape or extract data at scale
- Introduce malware, viruses, or harmful code
- Circumvent rate limits, abuse detection, or security controls
- Impersonate any person or organisation
- Transmit unsolicited commercial messages (spam)
We reserve the right to suspend or terminate accounts that violate these requirements. Repeated security violations (e.g. authentication abuse) may result in automatic IP blocking.
10. Data and privacy
Your use of the Service is subject to our
You retain full ownership of all data you upload to Yoria, including candidate records, company data, and documents. You grant Yoria a limited, non-exclusive licence to store, process, and transmit your data solely to provide the Service.
You are solely responsible for ensuring that any candidate personal data you enter into Yoria has been collected lawfully, with appropriate consent, and in compliance with applicable privacy laws in your jurisdiction.
You act as the data controller for candidate data; Yoria acts as your data processor. Customers who require a Data Processing Agreement may request one at [email protected].
11. Data retention and deletion
When you delete a candidate record, it enters a 30-day soft-delete grace period during which it can be restored by an admin. After 30 days, all personally identifiable information is irreversibly purged. A minimal identity skeleton (name, company, reference number) is retained for financial record integrity.
Upon account termination, your data is retained for 30 days to allow for data export, after which it will be permanently deleted. You may request a data export before the 30-day period expires by contacting [email protected].
Billing records may be retained for up to 7 years as required by applicable tax and accounting law.

12. Service level
We target 99.5% monthly uptime for paid plans. Current availability is displayed on our
Scheduled maintenance will be announced at least 24 hours in advance where possible and conducted during low-usage hours. Downtime caused by force majeure, third-party infrastructure failures, or events outside our reasonable control is excluded from uptime calculations.
13. Intellectual property
Yoria and its licensors own all intellectual property rights in the Service, including software, design, trademarks, and content we create. Nothing in these Terms transfers ownership of our intellectual property to you.
You retain all intellectual property rights in data you upload to the Service. You grant us a limited licence to use your logo and company name for the purpose of providing the Service (e.g. displaying it in your account interface).
14. Limitation of liability
To the maximum extent permitted by applicable law, Yoria shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to loss of profits, data, goodwill, or other intangible losses, arising from your use of or inability to use the Service.
Our total cumulative liability for any claims arising from or related to these Terms or the Service shall not exceed the total amount you paid to us in the three months immediately preceding the event giving rise to the claim.
Some jurisdictions do not allow the exclusion of certain warranties or the limitation of liability for certain damages. In such jurisdictions, our liability is limited to the greatest extent permitted by law.
15. Indemnification
You agree to indemnify, defend, and hold harmless Yoria and its officers, directors, employees, and agents from and against any claims, liabilities, damages, losses, and expenses (including reasonable legal fees) arising from:
- Your use of the Service in violation of these Terms
- Your violation of any applicable law or third-party rights
- Candidate data you upload without appropriate consent
- Your use of Connect to share candidate data without appropriate legal basis
16. Termination
Either party may terminate this agreement at any time. You may cancel your subscription from your account settings. We may suspend or terminate your account immediately if we determine, in our sole discretion, that you have violated these Terms or engaged in fraudulent or abusive activity.
Upon termination, your right to access the Service ceases immediately. Your data will be retained for 30 days after termination to allow for data export, after which it will be permanently deleted.
17. Governing law
These Terms are governed by and construed in accordance with the laws of Japan, without regard to its conflict of law provisions.
Any disputes arising from or relating to these Terms or the Service shall be resolved exclusively in the Tokyo District Court (東京地方裁判所) as the court of first instance, and both parties consent to the exclusive jurisdiction of that court.
18. Changes to terms
We reserve the right to update these Terms at any time. We will notify you of material changes by email at least 14 days before the changes take effect. For minor changes, we will update the "Last updated" date at the top of this page.
Your continued use of the Service after the effective date of any changes constitutes your acceptance of the revised Terms. If you do not agree to the new Terms, you must stop using the Service before they take effect.
